Understanding NDIS Payments: What to Expect After You Claim

NDIS Payments

If you self-manage your NDIS plan, you've probably experienced the confusion that can come with NDIS payments. You submit claims, money arrives in your account — but it's not always clear which claims each deposit relates to, how much you're entitled to keep, and what still needs to be paid to your providers.
How NDIS Payments Work for Self-Managers
Unlike plan-managed or NDIA-managed participants — where payments go directly to providers — self-managed participants receive NDIS funds into their own nominated bank account. The basic payment cycle looks like this:
A provider delivers a support and sends you an invoice
You submit a claim through the myNDIS Participant Portal
The NDIA processes the claim (typically within 2–3 business days)
Funds are deposited into your nominated NDIS bank account
You pay the provider from those funds — or retain them as reimbursement if you already paid out of pocket
How Long Do NDIS Payments Take?
Most claims are processed and paid within 2–3 business days. Claims submitted with incorrect details may be delayed or rejected. Reviewing invoice details carefully before claiming helps avoid these delays.
Why Are Multiple Claims Grouped Into One Deposit?
When you submit several claims at once — or claims that are processed on the same day — the NDIA will combine them into a single deposit. Capsure addresses this directly by grouping your submitted claims into expected deposits and showing you exactly which claims make up each payment, including what you can keep as reimbursement and what needs to be paid to providers.
Reimbursements vs Provider Payments: Understanding the Difference
Pay first, claim reimbursement
You pay the provider from your own funds, then submit a claim. Once processed, the NDIA deposits the funds as reimbursement — the money is yours to keep since you've already paid the provider.
Claim first, pay later
You submit a claim before paying the provider. Once the funds arrive, you use them to pay the provider. In this case, the deposit needs to be passed on.
How to Track Your NDIS Budget
Effective budget tracking for self-managers involves knowing your budget by category, monitoring your spending regularly, factoring in regular recurring supports, and accounting for claims in progress (the portal balance doesn't reflect submitted-but-unprocessed claims).
Understanding Your NDIS Funding Categories
Core Supports
The most flexible category, covering daily activities, consumables, transport, and social participation. Core funding can generally be moved between sub-categories.
Capacity Building Supports
Supports that build skills and independence — including therapy, support coordination, and employment-related supports. Generally not flexible between sub-categories.
Capital Supports
Funding for assistive technology, home modifications, and specialist disability accommodation. Highly specific and must be used for the items approved in the plan.
Frequently Asked Questions
How long does it take for NDIS funds to arrive after claiming?
Most claims are processed within 2–3 business days. If a claim hasn't been paid within a week, check the claim status in the myNDIS Participant Portal.
Why is my NDIS deposit a different amount from what I claimed?
The NDIA often groups multiple claims into a single deposit. Capsure breaks down each expected deposit by the claims it includes so you can see exactly what each payment relates to.
Can I keep some of the NDIS money deposited into my account?
Yes — in the case of reimbursements. If you paid a provider out of your own funds before claiming, the NDIS deposit is a reimbursement and is yours to keep.
What happens if my NDIS funding runs out before my plan renews?
If funding in a support category is exhausted, you'll need to pause supports or cover costs personally until your plan renews or is reviewed. If you're consistently running out of funding, request a plan review.
Can I transfer funding between support categories?
Core funding has some flexibility between sub-categories. Capacity Building and Capital funding generally cannot be transferred between categories.
